The Scheduler page gives you a visual overview of all your scheduled, published, and failed posts. A weekly calendar view shows upcoming content at a glance, and a detailed post list below lets you search, filter, edit, retry, and cancel posts across all connected platforms.
Opening the Scheduler
Click Scheduler in the sidebar navigation to open the page. The Scheduler is available for each workspace and shows only posts belonging to the current workspace.
Page Layout
The Scheduler page is divided into several sections from top to bottom:
- Header -- Page title, subtitle, and a "New Post" button
- Queue Statistics Dashboard (optional, toggled) -- System health and queue metrics
- Week Overview -- A 7-day calendar grid showing scheduled posts
- Post List -- A searchable, filterable list of all posts with action buttons
Header
The header row contains the page title "Scheduler" on the left side and a primary-colored New Post button on the right. Clicking this button navigates you to the post creation wizard. On mobile, the button text is shortened to save space.
Queue Statistics Dashboard
When enabled, the queue statistics dashboard shows three cards in a row:
Publish Queue
Shows real-time metrics for the post publishing queue:

Recommendations
Shows system-generated recommendations based on current queue performance. When everything is running smoothly, the card displays "No recommendations -- everything is working well." When issues are detected, specific suggestions appear as bullet points.
Week Overview
The week overview is a calendar card showing seven days (Monday through Sunday) in a horizontal grid. Each day column shows:
- Day label -- Abbreviated weekday name (e.g., "Mon", "Tue") at the top
- Date number -- The day of the month below the weekday name
- Post cards -- Scheduled posts for that day, each showing:
- A platform icon in a colored container (blue for Facebook, pink for Instagram)
- The scheduled time in HH:MM format
- A text preview of the caption (truncated to 2 lines)
- Empty state -- Days without posts show "No posts" in gray text
Week Navigation
Navigation buttons above the calendar let you move between weeks:
- Previous (left arrow + "Previous") -- Move to the previous week
- Next ("Next" + right arrow) -- Move to the next week
The card title updates dynamically to show "This week," "Previous week," "Next week," or "X weeks ago/ahead" based on the current offset from the present week.
Clicking a Post Card
Click on any post card in the week overview to open the Edit Post modal. This lets you view and modify the post details without leaving the Scheduler page.
Post List
Below the week overview, a comprehensive post list shows all posts for the current workspace. The list header contains a title "Upcoming and Past Posts," a search bar, and a filter button.
Search
The search bar (magnifying glass icon) lets you filter posts by typing keywords. The search matches against:
- Post caption text
- Platform name (facebook, instagram, tiktok)
- Post status (scheduled, posted, failed, etc.)
Results update in real time as you type.
Filters
Click the Filter button (funnel icon) to open a dialog with two filter dimensions:
Status Filter -- Choose from the following options:

Platform Filter -- Choose between All, Facebook, or Instagram to show only posts for a specific platform.
Active filters are indicated by a small accent-colored dot on the Filter button. Click "Reset" in the filter dialog to clear all filters.
Post Cards
Each post in the list is displayed as a card with the following elements:
Left column -- A platform icon in a colored container:
- Facebook: blue background with the Facebook icon
- Instagram: pink background with the Instagram icon
Center column -- Post details:
- Platform name (capitalized) and a status badge with the appropriate color
- Scheduled time with a clock icon, formatted as DD.MM.YYYY, HH:MM
- Caption preview truncated to 2 lines
- Media thumbnails -- Up to 3 small image previews in a row. If more than 3 media files exist, a "+N" indicator shows the remaining count. Videos display a "Video" label instead of a thumbnail.
Right column -- Action buttons:
- Edit (pencil icon) -- Opens the Edit Post modal
- Retry (refresh icon, only for failed posts) -- Re-queues the failed post for publishing. Shows a spinning animation while retrying.
- Cancel (X icon, only for scheduled/queued posts) -- Cancels the post and removes it from the publishing queue.
- Preview (eye icon) -- Opens a preview dialog showing the full post details.
Empty States
When no posts exist at all, a centered empty state shows a calendar icon, the heading "No scheduled posts," a description, and a "New Post" button to create your first post.
When posts exist but no results match the current search or filter, a similar empty state shows a search icon with "No results found" and a "Clear filters" button.
Edit Post Modal
Clicking "Edit" on any post card opens the Edit Post modal. This full-featured modal lets you modify:
- Caption text -- Edit the main post caption
- Hashtags -- Add or remove hashtags
- Scheduled time -- Change the publication date and time using a datetime picker
- Media files -- View attached media (replacement requires creating a new post)
The modal also shows the current status, platform, and account information. Click Save to apply changes or Delete to permanently remove the post. Posts that are already published or currently processing cannot be edited.
Post Preview Dialog
The Preview dialog opens in a centered overlay and shows the complete post details in a read-only format:
- Platform -- Shown as a colored status badge
- Caption -- Full caption text with line breaks preserved
- Media -- Up to 4 media files in a 2-column grid with square aspect ratio
- Scheduled At -- Formatted publication date and time
- First Comment -- If a first comment was configured, it appears in its own section
A "Close" button at the bottom dismisses the dialog.
Managing Failed Posts
Posts with "Failed" status are highlighted in red throughout the interface. Common causes for failure include:

| Expired access token | Reconnect the social account under Settings. Facebook/Instagram tokens expire after 60 days. TikTok tokens refresh automatically but may fail. |
| Platform API error | Temporary outage on the platform side. Click Retry to re-queue the post. |
| Media upload failure | The file may be corrupted or exceed platform limits. Check the file format and size, then create a new post if needed. |
| Rate limiting | Too many posts published in a short window. Wait 15-30 minutes before retrying. |
| Invalid media format | The media file does not meet the platform's technical requirements. Use the media editor to adjust dimensions or duration. |
To retry a failed post, click the orange Retry button on the post card. The post is re-queued with a "Manual retry from scheduler" note. After retry, the post status changes to "Queued" and progresses through Processing to Posted (or Failed again if the issue persists).
Cancelling Posts
Scheduled and queued posts can be cancelled by clicking the red Cancel button on the post card. Cancellation is immediate and the post status changes to "Cancelled." Cancelled posts remain visible in the list but cannot be re-activated. To reschedule cancelled content, create a new post.
Frequently Asked Questions
How do I see posts from a specific platform only?
Click the Filter button next to the search bar and select the desired platform (Facebook or Instagram) from the Platform dropdown. Only posts for that platform will be shown.
What is the difference between "Scheduled" and "Queued" status?
"Scheduled" means the post is saved and waiting for its scheduled time. When the scheduled time approaches, the system moves the post to "Queued" status, which means it is in the publishing queue and will be processed shortly. "Processing" means the post is actively being sent to the platform API.
Can I edit a post that is already published?
No. Once a post reaches "Posted" status, it has already been published to the social platform and cannot be modified through the scheduler. To make changes, you would need to edit the post directly on the social platform.
Why do some posts show as "Retry" status?
Posts that fail are automatically retried with exponential backoff. The "Retry" status (orange badge) indicates the post is scheduled for an automatic retry attempt. After exhausting all retry attempts, the post moves to the dead-letter queue and shows as "Failed."
How far in the future can I view the calendar?
You can navigate the week overview forward or backward without any limit. Use the Previous and Next buttons to move through weeks in either direction. The title label helps you track your position relative to the current week.
