Content Mate allows you to invite team members to your workspace so you can collaborate on social media content. Each member receives a role with specific permissions that control what they can see and do. Invitations are sent via time-limited links that you can share by email, messenger, or any other channel. In this article, you will learn how to invite members, manage invitation links, understand the role system, change member roles, and remove members.
Feature Overview
- Invitation links -- Generate individual links for each team member, valid for 7 days
- Three roles -- Admin, Editor, and Viewer with clearly defined permission levels
- Role management -- Change existing member roles instantly via dropdown
- Active invitations -- View all pending invitations with email, role, creation date, and expiry countdown
- Revocation -- Invalidate pending invitation links immediately
- Confirmation dialog -- Member removal requires explicit confirmation to prevent accidents
Prerequisites
Before you can invite members, the following conditions must be met:
- You must be an Admin (or Owner) of the workspace
- The workspace must exist and be accessible
- The person you invite needs a Content Mate account to accept the invitation (they can create one during the acceptance flow)
Accessing the Invitation Section
Navigate to Settings in the sidebar menu of your workspace. The workspace settings page contains several sections. The invitation functionality is located in the Invite New Member card, which is only visible to workspace administrators.
The settings page shows the following sections in order:
- Workspace Information -- Name and member count
- Workspace Members -- List of all current members with roles
- Invite New Member -- Form for creating invitation links (Admin only)
- Connected Social Media Accounts -- Facebook, Instagram, and TikTok accounts
- Holidays & Public Days -- Calendar configuration (Admin only)
Creating an Invitation Link
To invite a new team member:
- Scroll to the Invite New Member section in the workspace settings
- Enter the email address of the person you want to invite in the email field
- Select a role from the dropdown menu -- choose between Admin, Editor, or Viewer
- Below the role dropdown, a short description of the selected role is displayed so you can verify the correct permission level
- Click Generate Link to create the invitation
After creating the invitation, a green success banner appears containing:
- A confirmation message stating the invitation was created
- The email address the invitation is for
- The full invitation URL displayed in a code block
- A copy button to copy the link to your clipboard
Copy the link and share it with the invited person via email, messenger, Slack, or any other communication channel.
The invitation link expires after 7 days. A note below the generate button reminds you of this expiration window.
Managing Active Invitations
Below the invitation form, you can see all currently active (pending) invitation links. The heading shows the total count of active invitations. Each invitation entry displays:
| Field | Description |
|---|---|
| Email address | The email of the invited person |
| Role badge | The assigned role (Admin, Editor, or Viewer) shown as a colored badge |
| Created at | Date and time when the invitation was generated |
| Expires in | Remaining days until the invitation expires (with a clock icon) |
| Copy button | Click to copy the invitation link to your clipboard |
| Revoke button | Click the trash icon to invalidate the invitation immediately |
Copying an Invitation Link
Click the copy icon next to any active invitation to copy its link to your clipboard. A brief checkmark animation confirms that the link was copied. A success notification also appears.
Revoking an Invitation
To revoke a pending invitation, click the trash icon on the right side of the invitation entry. The invitation is invalidated immediately -- if the invited person opens the link after revocation, they will see an error message. A success notification confirms the revocation.
You can create a new invitation for the same email address after revoking the previous one.
Empty State
If there are no active invitations, an empty state is shown with a link icon and a message encouraging you to generate your first invitation link.
Roles and Permissions
Content Mate offers three roles for workspace members, each with a distinct permission level. Choose the role carefully based on what the team member needs to do.
Role Comparison Table
| Permission | Admin | Editor | Viewer |
|---|---|---|---|
| View dashboard and analytics | Yes | Yes | Yes |
| View scheduled posts | Yes | Yes | Yes |
| Create and edit posts | Yes | Yes | No |
| Publish and schedule posts | Yes | Yes | No |
| Read and reply to messages | Yes | Yes | No |
| Connect social media accounts | Yes | No | No |
| Manage team members | Yes | No | No |
| Generate invitation links | Yes | No | No |
| Change workspace settings | Yes | No | No |
| Remove members | Yes | No | No |
Admin
Full access to all workspace features. Admins can manage everything from content creation to team and account management. Assign this role to trusted team members who need complete control over the workspace. Multiple admins are allowed per workspace.
Editor
Can create, edit, and publish content and manage inbox conversations. Editors cannot connect new social media accounts, invite members, or change workspace settings. This is the ideal role for content creators, social media managers, and community managers who focus on day-to-day content work.
Viewer
Read-only access to the workspace. Viewers can see the dashboard, analytics, and scheduled posts but cannot create, edit, or publish anything. This role is ideal for clients, managers, or stakeholders who need visibility into the social media strategy without the ability to make changes.
Changing a Member's Role
To change an existing member's role:
- Navigate to Settings in the sidebar
- Find the member in the Workspace Members section
- Click the role dropdown next to the member's name (shows the current role)
- Select the new role: Admin, Editor, or Viewer
- The change takes effect immediately -- a success notification confirms the update
Only workspace administrators can change member roles. The role dropdown is not visible to Editors and Viewers.
Removing a Member
To remove a member from the workspace:
- Navigate to Settings in the sidebar
- Find the member in the Workspace Members section
- Click the red trash icon on the right side of the member entry
- A confirmation dialog appears with a warning icon, the member's name, and a description of what will happen
- Click Remove to confirm, or Cancel to abort
The removed member loses access to the workspace immediately. All content previously created by that member (scheduled posts, messages) is preserved in the workspace.
Accepting an Invitation
When someone receives an invitation link and opens it in their browser:
- Processing state -- A loading spinner is shown while the invitation is being processed
- Success -- A green checkmark appears with the workspace name, and the user is automatically redirected to the workspace overview after 2 seconds
- Error -- A red error icon is shown with a specific message explaining what went wrong
Possible Error Messages
| Error | Meaning |
|---|---|
| Invalid link | The invitation token is malformed or missing |
| Already used | The invitation link has already been redeemed by someone |
| Expired | The 7-day validity period has passed |
| Already a member | The user is already a member of this workspace |
| Workspace not found | The workspace associated with the invitation no longer exists |
| Not logged in | The user needs to sign in first -- they are redirected to the login page |
If the user is not logged in when they open the invitation link, they are redirected to the login page with a return URL. After signing in, the invitation is processed automatically.
Frequently Asked Questions
How long is an invitation link valid?
Invitation links expire after 7 days. You can see the remaining days for each active invitation in the invitation list. After expiry, create a new invitation for the same email address.
Can a user be a member of multiple workspaces?
Yes. A user can belong to any number of workspaces and hold a different role in each one. The workspace overview shows all workspaces the user has access to.
What happens when I revoke an invitation?
The invitation link becomes invalid immediately. If the invited person has not yet opened the link, they will see an error message when they try to use it. You can create a new invitation for the same person afterwards.
Who can invite members?
Only workspace Admins (and the workspace Owner) can invite new members, change roles, and remove members. Editors and Viewers do not see the invitation section.
Can I re-invite someone who was removed?
Yes. After removing a member, you can create a new invitation link for their email address. They will need to accept the new invitation to rejoin the workspace.
