    Manage Instagram messages and comments

    Reply to direct messages, moderate comments, and understand messaging windows and teamwork

    The shared inbox lets you handle Instagram direct messages and comments on your content. Assign conversations, organize them with labels and add internal notes. A public comment reply, a private message and an internal note have different recipients and rules.

    Requirements and permissions

    The professional Instagram account must be connected to the correct workspace. ContentMate also needs Instagram permission for messages and comments, respectively. These permissions are separate: working direct messages do not prove that comments are authorized too.

    Your ContentMate role must allow the action you want to take. Permission to view an inbox does not automatically include replying or moderation. If a permission warning appears, update the existing Instagram connection instead of connecting a different profile.

    Find the right conversation

    1. Open Inbox in the intended workspace.
    2. Select the correct Instagram account in the account filter.
    3. Choose Messages for private conversations or Comments for threads beneath posts.
    4. Check active status, label, VIP and assignment filters. A conversation can exist while being hidden by a filter.
    5. Use search to find a particular person or conversation content.
    6. Open the conversation and check the account, sender and existing history before replying.

    For comment threads, the post preview helps you identify which content the question concerns. Do not reply in the wrong thread merely because two comments have similar wording.

    Reply to direct messages

    Enter your reply in the message field and select Send or press Enter. First check that the composer is in message mode. You can insert a saved reply; review names, placeholders and the circumstances before sending it.

    The reply is sent from the selected professional Instagram account. Wait for confirmation that it was sent successfully. Text visible in the composer or a loading indicator does not mean Instagram has received the message. Avoid immediately sending several identical replies when delivery appears slow.

    New conversations normally begin when the other person messages your Instagram account. Knowing someone's Instagram identifier does not authorize you to send arbitrary private messages to them from ContentMate.

    Understand reply windows

    The seven-day extension is not general permission for advertising, automated follow-ups or arbitrary later replies. Even if ContentMate shows a block only after seven days, that does not confirm permission to send at every earlier point. Instagram may reject a request after the standard window closes.

    Example: A customer messages you on Monday at 10:00. Without an applicable support exception, the standard window closes on Tuesday at 10:00. Your own reply at 16:00 on Monday does not extend it. If the customer writes again at 09:00 on Tuesday, that incoming message starts a new 24-hour window.

    With a direct Instagram connection, the platform link opens Instagram's inbox. For Instagram connected through Facebook, it may open Meta Business Suite. Check the active profile there too. Internal notes remain available when ContentMate can no longer send a message.

    Reply publicly to comments

    1. Select Comments and open the post's thread.
    2. Select Reply on the relevant top-level comment.
    3. Enter your response in the field that appears below it.
    4. Send the reply and wait for confirmation.
    5. Check the indented reply beneath the original comment.

    This reply is published publicly beneath the Instagram post. It is not a direct message. Replying to a comment therefore does not automatically start a private conversation. Do not include order numbers or other personal details in a public reply.

    The interface offers Instagram replies on the top-level comment. If a comment can no longer be answered or a time-limit error appears, open the post directly on Instagram. Time limits for private messages or private replies must not be confused with how long a public comment remains visible.

    Hover over a comment to reveal its moderation controls. Deleting requires an additional confirmation. Use the appropriate eye icon to hide or unhide a comment, then check the displayed result.

    Moderation applies to comments on media belonging to the connected account. It does not grant management rights over other people's Instagram posts. Blocking an author everywhere or globally disabling comments is not a ContentMate action promised by this guide.

    Teamwork: status, assignment, labels and notes

    Status

    • Open: The conversation needs attention.
    • In progress: A team member is handling it.
    • Resolved: Work on the conversation is complete.

    Changing status organizes your workspace. It does not delete an Instagram message or answer a comment. Resolved also does not prove that an earlier reply was delivered.

    Assignment

    Select a workspace member in the conversation header. Each conversation has one assigned owner; selecting another person replaces the previous assignment. Choose Unassigned to remove it. Use Assigned to me to see your own cases.

    Labels and VIP

    Labels identify subjects such as “Complaint” or “Partnership.” They organize work internally and are not published as Instagram hashtags. VIP markers help prioritize conversations. Combine these filters deliberately with account and status so you do not accidentally hide open cases.

    Internal notes

    Switch the composer to Note. For example, record “Asked the warehouse; expecting a reply tomorrow.” The note stays in the workspace and is not sent to Instagram. Return to message mode before your next customer-facing reply.

    Inbox counts are not analytics metrics

    The unread count refers to conversations in the filtered list. Three unread conversations containing five messages each still count as three conversations, not 15. Opening a conversation can mark it as read without resolving it.

    Analytics comment counts are imported separately and may have a different date range, timestamp or scope. The number of visible threads is therefore not a substitute for the analytics metric “Comments.” Do not compare those counts directly. See the Instagram metrics reference for the distinctions.
