Workspaces are the central organizational unit in Content Mate. Each workspace is an isolated environment with its own social media accounts, team members, scheduled posts, analytics data, and settings. Whether you manage a single brand, multiple clients, or separate departments, workspaces keep everything organized and separated. In this article, you will learn how to create a new workspace, navigate the workspace overview, switch between workspaces, and understand workspace limits based on your subscription tier.
What Is a Workspace?
A workspace is a self-contained project space within Content Mate. Think of it as a separate office for each brand or client you manage. Everything inside a workspace is independent from other workspaces:
- Social media accounts (Facebook, Instagram, TikTok) are connected per workspace
- Team members are invited individually to each workspace with specific roles
- Scheduled posts belong to the workspace where they were created
- Analytics data is collected and displayed per workspace
- Settings such as holiday calendars are configured independently
This separation ensures that team members only see the data and accounts relevant to their project, and that different clients or brands never mix.
The Workspace Overview
The workspace overview page is the starting point for managing all your workspaces. You can access it by clicking Workspaces in the main navigation menu, or by using the workspace switcher at the bottom of the sidebar and selecting Manage Workspaces.
Your Workspaces
The first section shows all workspaces that you own. Each workspace card displays the workspace name and an Owner badge in amber. As the owner, you have full control over the workspace, including the ability to delete it, manage billing, and configure all settings. The count next to the section heading tells you how many workspaces you currently own.
If you have not created any workspaces yet, an empty state message is shown with a prompt to create your first workspace.
Member in Workspaces
The second section lists all workspaces where you are a member but not the owner. Each card shows the workspace name and your role badge (Admin, Editor, or Viewer) in blue. These are workspaces that other users have invited you to. Click on any card to open that workspace and start working.
If you have not been invited to any workspaces, this section displays an empty state.
Creating a New Workspace
To create a new workspace:
- Open the workspace overview by clicking Workspaces in the side menu
- Click the + Create New Workspace button in the top-right corner of the page
- A modal dialog opens with a text field for the workspace name
- Enter a descriptive name for your workspace (for example, "Acme Corp Social Media", "My Restaurant", or "Client XY Campaign")
- Click + Create to confirm
After successful creation, you are automatically redirected to the Connect Accounts page for the new workspace. This is where you can link your Facebook Pages, Instagram Business Accounts, and TikTok accounts.
If the creation fails (for example, because you have reached your workspace limit), an error notification appears. In that case, you may need to upgrade your subscription to create additional workspaces.
Switching Between Workspaces
Content Mate provides two ways to switch between workspaces:
Workspace Switcher (Sidebar)
At the bottom of the sidebar, you will find the workspace switcher dropdown. It displays the name of the currently active workspace. Click on it to reveal a dropdown menu with:
- A list of all your workspaces (both owned and member), each showing your role as a badge
- A checkmark icon next to the currently active workspace
- A Manage Workspaces link at the bottom that takes you to the full workspace overview
Click on any workspace in the list to switch to it immediately. You will be redirected to the inbox of the selected workspace.
Workspace Overview
Alternatively, navigate to the full workspace overview page and click on any workspace card. This takes you directly to the dashboard of that workspace.
Workspace Limits and Subscription Tiers
The number of workspaces you can create depends on the subscription tier of your account. Content Mate enforces these limits at the account level based on the workspace owner:
| Feature | Standard | Advanced | Agency |
|---|---|---|---|
| Workspaces | Limited | More workspaces | Unlimited |
| Team members per workspace | Limited | More members | Unlimited |
| Instagram accounts per workspace | Limited | More accounts | Unlimited |
| Facebook accounts per workspace | Limited | More accounts | Unlimited |
| TikTok accounts per workspace | Limited | More accounts | Unlimited |
If you reach the workspace limit for your current tier, the creation button will still be visible, but you will receive an error when trying to create a new workspace. To increase your limit, visit the Pricing & Subscription page and upgrade to a higher tier.
The Owner Concept
Workspace limits are always based on the owner's subscription, not on the members' subscriptions. This means:
- If you own a workspace, your subscription determines the limits for that workspace
- If you are a member of someone else's workspace, the owner's subscription applies
- Users without any subscription can still work in workspaces owned by others, as long as the owner's subscription permits it
This design allows teams to function efficiently: only the workspace owner needs an active subscription, while team members can collaborate without their own paid plan.
First Steps After Creating a Workspace
1. Connect Social Media Accounts
After creating a workspace, you land on the Connect Accounts page. From here, you can connect:
- Facebook Pages -- Connect your Facebook Business Pages to schedule posts and manage messages
- Instagram Business Accounts -- Connect via your linked Facebook account to manage Instagram content
- TikTok Accounts -- Connect your TikTok account to schedule and publish videos
For detailed instructions on each platform, see Connect Accounts.
2. Invite Team Members
If you work with a team, invite colleagues to collaborate in the workspace:
- Navigate to Settings in the sidebar menu
- Use the Invite New Member section to generate invitation links
- Share the link with your team members
For details on roles and permissions, see Invite Members.
3. Configure Workspace Settings
Customize your workspace by visiting the Settings page:
- Enable holiday calendars for your region
- Review connected accounts
- Manage member roles
See Workspace Settings for a full guide.
Frequently Asked Questions
How many workspaces can I create?
The number of workspaces depends on your subscription tier. The free tier offers a limited number. Upgrading to Standard, Advanced, or Agency unlocks additional workspace slots. Visit the Pricing & Subscription page to compare plans.
Can I rename a workspace after creation?
The workspace name is set during creation. You can view the current name in the workspace settings page. If you need a different name, you may need to create a new workspace with the desired name and migrate your accounts.
What happens when I delete a workspace?
Deleting a workspace permanently removes all associated data, including scheduled posts, analytics history, connected account links, and member associations. Posts that have already been published on the social media platforms remain on those platforms and are not affected.
Can I be a member of multiple workspaces at the same time?
Yes. You can be a member of any number of workspaces simultaneously and hold a different role in each one. Use the workspace switcher in the sidebar to move between them quickly.
Does creating a workspace cost extra?
No. Workspaces are included in your subscription tier. The tier determines how many workspaces you can create, but there is no per-workspace charge. See the Pricing & Subscription page for tier details.
